Additional Events Available in Workday

While these changes are not as common, there are times during the year you may need to update your original Open Enrollment elections. Whether it’s a beneficiary change, daycare update, or dependent information, we’ve outlined step-by-step instructions below to help you make these changes with confidence. 

Beneficiary Event

Beneficiaries are needed for Group Term Life, Employee Supplemental Life (if elected), and AD&D (if elected) benefits. No verification is required to complete this Workday event. However, you will need the beneficiary’s mailing address to finalize the event.  If you do not have this information readily available, please wait to begin the event until you can provide it.

Enter a Beneficiary Event in Workday

  1. Log in to Workday and click on the Menu icon in the upper left corner. Scroll down and click on the Benefits and Pay icon.
  2. Select Change Benefits.
  3. Choose Change Beneficiary, enter the current date, click Submit, then Open, and Let’s Get Started.
  4. Click Manage in the benefit tile you want to update.
  5. Click Confirm and Continue and follow the below steps to add a new beneficiary.
    1. Click the + sign to create a row to add a beneficiary
    2. Click the box under Beneficiary (Select option: Existing Beneficiary Persons, Existing Trust, or Add New Beneficiary or Trust)
    3. Complete the screens
    4. Click the box under Percentage
    5. Enter a percentage number
    6. Click Save (Restart at step 1 to add additional beneficiaries)
  6. When you have a beneficiary listed for Group Term Life, Employee Supplemental Life (if elected), and AD&D (if elected) your benefits are updated select Review and Sign.
  7. Confirm that you now have beneficiaries listed for all three benefits and scroll down to check the I Accept box and click Submit.

Event Reminders

  • You will need the mailing address for the beneficiary to complete. 
  • Both the Primary and the Secondary Beneficiary Percentages must EACH equal 100%.

  • This update applies only to Life Insurance and AD&D beneficiary elections. Retirement elections must be completed through Principal.
Day Care Change

Verification Needed: Provide official documentation from the daycare facility confirming the start or end date of care. Documentation must be submitted in Workday within 30 days of the daycare change (event date is day 1 of 30). This event allows eligible individuals to enroll in or waive the TOOTRiS childcare contribution benefit.

Enter a Day Care Event in Workday

  1. Log in to Workday and click on the Menu icon in the upper left corner. Scroll down and click on the Benefits and Pay icon.
  2. Select Change Benefits.
  3. Choose Day Care Change, enter the event date, click Submit, then Open, and Let’s Get Started.
  4. Click Enroll if newly electing or Manage if you are waiving the benefit.
  5. If enrolling, click Select, then Confirm and Continue. If waiving, click Waive, then Confirm and Continue.
    • Partners must enroll a child aged 12 or younger to be eligible to access the contribution benefit. If this is a newly added dependent, verification will need to be provided to verify the child along with the verification of the day care change. The most common child verification is the birth certificate showing the partner or the verified spouse as the parent.
    • Click Add New Dependent and follow prompts to add the child to coverage.
    • Once the child is added, verify the box next to their name is checked and select Save.
  6. Select Review and Sign.
  7. Confirm your coverage and scroll down to check the I Accept box and click Submit.
Mobile Texting

No verification is needed to complete this Workday event.

Enter a Mobile Texting Event in Workday

  1. Log in to Workday and click on the Menu icon in the upper left corner. Scroll down and click on the Benefits and Pay icon.
  2. Select Change Benefits.
  3. Choose Mobile Texting Option Change, enter today’s date, click Submit, then Open, and Let’s Get Started.
  4. Click Enroll if newly electing or Manage if you are waiving the benefit.
  5. If enrolling, click Select, then Confirm and Continue. If waiving, click Waive, then Confirm and Continue.
  6. Select Review and Sign.
  7. Confirm your election and scroll down to check the I Accept box and click Submit.
Update Dependent SSN

Important: Do not add fake SSNs into this section.

Add or Update Dependent SSN in Workday

  1. Log in to Workday and click on the Menu icon in the upper left corner. Scroll down and click on the Benefits and Pay icon.
  2. Select Benefits (under the Benefits and Pay section on left hand side of the screen) and then click Dependents.
  3. Click Edit next to the dependent you would like to update.
  4. Click on the Pencil icon in the Effective Date & Reason Box.
  5. Click in the Reason box and click Change Dependent and then Change Dependent > Personal Information then click the check mark to save.
  6. Scroll down to the Identifier Information section.
    • Adding SSN for first time: Click Add in the National IDs Box, click in the Country Box and select United States of America, click in the National ID Type Box and select Social Security Number, click in the Add/Edit ID Box enter the SSN, click on the check mark to save.

    • Editing SSN previously entered: Click on the Pencil icon, click in the Add/Edit ID Box enter the SSN, click on check mark to save.

  7. Verify SSN is correct and click Submit.
Update Dependent SSN
